Best Practices For Document Libraries and List in SharePoint

Last week, I came to know the article “Top 10 Best Practices for Document Libraries” published at officesharepointpro.com by Dan Holme. This is another great article print out from Dan’s pen. 

Dan has pointed out the top ten things which we must check and implement in SharePoint Document Library. Those lists are not everything we should consider, but most of the things we will face while managing SharePoint farm. Like check-in and check-out policies and train end users on this, and even the versioning retention polices, all those things, I believe SharePoint farm administrator must consider and mandate to run a success full SharePoint application. I have pointed couple of things in IDEAS on SharePoint on last month where I mentioned few things which need to implement to run a successful SharePoint farm.

On top of this, I would like to point a few more things which we could consider in document library/list. One of them is migration of document library between sites. We often face this type of request, and end user is very happy to place the request to copy 4-5 GB of documents distributed in a SharePoint site and sub sites to another top level SharePoint site. Painful job! To manage this, you should teach business users how to map SharePoint site with windows explorer and then asked him/her to start the simple copy-paste operation part by part to migrate content.

Another one, I can remember is to migrate view. In many document library or list, sometimes there are 20-25 views can be found, and peoples need to migrate those views.  In such scenario, as a farm administrator, you probably need to take the ownership in this activity. No simple way to doing this, just bite the bullet and recreate those one.
